Unlike traditional folders, labels function more like tags, allowing a single email to belong to multiple categories simultaneously. This flexibility helps users keep track of work projects, personal correspondence, and recurring updates without creating a separate folder for every type of communication.

How to create and apply labels

To create a label on the desktop website, click the label icon in the toolbar while viewing a message and type the new name. Hitting Enter will generate the label and apply it immediately. Keyboard shortcuts can speed this process up; pressing “L” applies a label, while the arrow inside a folder icon performs a “Move to” action that archives the message at the same time. Mobile users can access these functions through the three-dot menu or the three-line sidebar, though the desktop interface offers the most full customization options.

Labels can be applied to outgoing emails as well. Composing a message on the desktop site allows users to access the label list from the three-dot menu in the compose window. This ensures that sent correspondence remains organized alongside incoming messages. Once established, the label list in the sidebar can be collapsed or expanded, and labels can be grouped into sublabels to create a more structured hierarchy.

Using labels for smarter searches

Search functionality improves significantly when labels are used as search variables. Typing “label:work” into the search bar filters results to show only messages with that specific tag. This method allows for complex queries, such as finding messages that contain multiple labels at once. Google also supports built-in labels for categories like travel, purchases, and finance, expanding the utility of this search feature beyond custom tags.

While manual labeling is common, the most powerful aspect of this system involves automation. Users can train Gmail to apply labels automatically based on criteria like the sender’s address or keywords in the subject line. Filters can then be set to move these categorized messages to different locations, such as skipping the primary inbox for routine invoices. This approach reduces the need to sort through every incoming message manually.

Managing the noise in an inbox requires more than just manual sorting. In the past, users had to rely on third-party plugins or complex search operators to silence unimportant notifications. The native label system now allows for granular control over alerts, letting users silence notifications for specific tags while keeping others active. This balance prevents important messages from getting lost while reducing the constant distraction of less critical updates.
